Revenue Receipts Templates - what are they and how can they make your job EZier?
Today we're going to showcase an enhancement that, although very beneficial and a good short-cut for your revenue receipts processing, probably hasn't been utilized to its fullest. Why? We don't know. Maybe it was one of many great enhancements on a past release and just got lost in the mix. Sad but true fact. Or maybe at the time you just couldn't take the time to figure out how you could embrace and benefit from it.
Unfortunately, it happens. Hence our INSIGHTS - to introduce, or re-introduce enhancements in the SSI Oil and Gas Accounting System that you might have overlooked, or had plans to implement at a later time and then forgot.
A new day's dawning and there are always things that can be implemented to make your job EZier. And this is a great one! It's EZ to set up and EZ to implement!
Revenue Templates
Not to be confused with RP03I - Import Templates. The Revenue Templates we are discussing are for those revenue receipts being manually keyed into RP03 - Revenue Receipts transaction entry.
Revenue Templates are nothing more than a user-defined RP03 screen presentation for entering Revenue receipts. Which means you set the volumes and dollar fields in RP03 to the order that works best for the purchaser's revenue receipt being keyed.
Let's start with revenue check detail from a purchaser. No two purchasers present revenue detailed information the same way. It's all over the place! A check voucher from Chesapeake is going be presented differently than one from Coffeyville Resources or ConocoPhillips. And if they don't use SSI, some don't make any sense at all! You have to go searching, searching, searching to find the volumes, dollars, taxes, deducts and nets to fit the RP03 fields in SSI. While we can't control what they do, we can make what you do EZier, the process of keying in the revenue receipts data.
Revenue templates can be uniquely designed based on the specific purchaser check detail. Does your purchaser give 8/8ths volumes or net volumes? 8/8th or net dollars or both? 8/8ths or net sales, taxes, deducts, etc. Or all of the above? And in what order? Revenue Templates let you do you. Create a special template for the RP03 entry screen fields that matches the order/volumes/dollars for the purchaser's check you've received.
Since the revenue template is tied to the purchaser, we're going to start by going into RP01/WM04 - Revenue Cross References. Click the Purchaser tab at the top of the screen, and then Maintenance from the drop-down. Access one of your existing purchasers. See over on the upper right? Oil Template, Gas Template, Liq Template. That's what we're working toward. The end game is that for this purchaser you can set a specific method of entering your revenue check with the fields in a format that matches the order and type of info on that purchaser's check.
Step 1
Add a template. Still in RP01/WM04 - select Revenue Templates from the top of the screen, and Maintenance from the drop-down. The first field you see is the “Template” field. Do a look-up. You should see at least a default template for Gas, Oil and Liquids. This default template is the standard order for how the revenue fields are presented in RP03 when you're keying in the data. You've got First through Sixth on the left and Entry Selections on the right. The First through Sixth represents the order of the fields in RP03 transaction entry. The fields next to each number are what info you're going to put in box 1, box 2 box 3, etc.
So…let's say you've got a Chesapeake revenue voucher. You can set a Chesapeake Gas template. In the template field type Chesapeake Gas and select Gas. Add this template - Yes. In the description, you can type anything you want. It's free form and you get about 30 characters.
Now comes the fun part. The fields under Revenue Template Entry Order are…
First -
This field is hard-coded for volumes. But you do have a choice. Do you want to key 8/8ths volumes or net volumes?
Second through Sixth -
These fields are an all-skate. From the Entry Selections list on the right - what do you want to appear/key in next? 8/8ths sales? Net Sales?
Choose whatever you want from the Entry Selections on the right side. The only other requirement? You have to make a Net Check (17) choice from the right side into one of the boxes on the left side (Revenue Template Order). You've got to tell us what the bottom line is. You don't have to use all six - if you want Fifth to be your net check (17) you can leave Sixth blank.
Once that's done and you've saved your record
Step 2 -
Now's when you can attach this specific Chesapeake Gas template to the Chesapeake Purchaser. Remember above when we looked at the Purchaser Maintenance (upper right) - Oil Template, Gas Template, Liq Template. Do a look-up on the Gas Template field and see the Chesapeake Gas template we just created as a choice. Select the template and save your purchaser record.
Now, try entering a transaction in RP03 from Chesapeake for Gas. Every time you enter revenue into RP03 from Chesapeake on gas the revenue entry fields will use the entry order that you set in your template!
Try it on just one purchaser's check voucher and you'll quickly see how much EZier it is to key in the purchaser's revenue receipt, and how much time will be saved! You'll be sold!
