Don’t blame us!! Blame the Post Office. Or better yet…thank us!
You know how the post office will only accept a defined length for names and addresses? Or maybe you don’t.
You know how sometimes you get a really long name? Like “blah blah…Testamentary Trust for the blah blah Husband and Wife”, or …”Executor for the Estate of blah blah, Joint Tenants with Rights…blah blah”?
Well of course you’ve encountered that before. The SSI Oil and Gas Accounting Software allows a certain number of characters for the name and address information for vendors and owners because the POST OFFICE only allows a certain number of characters. You’re limited on how many characters can be in name line 1, name line 2, address line 1 and address line 2. You’ve got to abbreviate and sometimes it gets pretty cryptic. It’s because that information is used for name and address when printing checks, running JIBs, and anything else that is vendor/owner related and is mailed out. The problem is that SSI can use only the number of characters that the Post Office allows us to use. And EFTs to the bank must conform to that same character max as well (which we do follow, BTW!).
So…that additional info for extra long names and addresses needs to be kept somewhere. Into some paper file that has long since been filed away who knows where or dumped in the trash can.
Why not keep it in SSI? Historically the standard SSI suggestion was to put it in an “additional name/address info” code in a Notebook. Which has always been a good alternative and is still very useable and easily retrievable.
However, the SSI Oil and Gas Accounting Software has now enhanced the BA01 ‐ Business Associate Maintenance program file to specifically accommodate as needed, in a special place designed JUST for that, any long legal names. When accessing the BA01 – Business Associate dialog screen, check out the upper right side and notice a new Legal button. This button will access a sub‐dialog screen containing 4 extra lines of 40 characters per line. That’s 160 characters total, all free‐form and alpha‐numeric, and more than enough for longer legal names/addresses!
And it has its own little nifty short‐cut. There’s a button at the bottom of that sub‐dialog screen – Load From Front Dialog. This means that if you want to use some info from the main name/address info from the front screen, go ahead! That front screen info can be auto‐copied into this Long Legal Name screen. Then just add/change/delete what’s needed! Any time SSI can provide a little short‐cut to make your job EZier…we will DO IT!
It’s simple and it’s already available for you to use.
Remember, it’s at the Business Associate level and is all informational. It won’t be included on check prints or JIB/Land billings – because like we discussed above, we’re having to conform to the post office and bank regs. It will, however, be included on the BA01P – Print Business Associates – Full List and it’s always easily retrievable to review with simple access to BA01 – Business Associate Maintenance. It’s a great place to electronically store that additional name/address information.
