It’s not new news. Security and embezzlement concerns have been topics we’ve discussed before. Unfortunately, in today’s world, processes must be implemented to minimize the risk of fraud and unauthorized activity. At SSI, we’ve developed multiple protections and notifications to alert you of potential security breaches.
This edition of INSIGHTS introduces a new enhancement included in our recently released 2025 Software Update. This feature is designed to assist in the detection and investigation of potential fraud issues—and it’s incredibly simple to use. All you need to do is run and review a report.
What It Is
This new feature provides a notification when an owner or investor is paid for the first time. That’s it. While it may seem minor, this notification serves a crucial purpose. For instance:
- An owner who has been paid regularly may not raise concerns.
- A first‐time payment, however, might warrant closer scrutiny. Could it signal an unauthorized transfer of revenue, a questionable change in ownership, or even an illegitimate vendor?
The vast majority of first‐time payments—99.9999% in fact—are legitimate. But for that one rare case, spending a couple of minutes reviewing these transactions can prevent significant headaches.
How It Works
For Accounts Payables
To review vendors paid for the first time:
- Run an AP05 – Vendor/Expense Inquiry report.
- In the Transaction Status and Check Detail section (middle left side), select Paid Only.
- Enter the desired month in the Start/Thru Date fields (we recommend reviewing one month at a time).
- Select First Checks Audit.
The report will display only vendors being paid for the first time within the selected date range. Quick and easy—and it might save you from future issues.
For Revenue Checks to Owners
To review revenue checks issued to owners for the first time:
- Use RP26P – Owner/Well Inquiry.
- On the Options screen (upper right side), look under Check Options.
- Enter the desired Start/Thru Date and select First Time Checks Audit.
If the report is empty, no new owners/vendors were paid during the selected period, and your review is complete.
Why We Made This Enhancement
This feature was implemented following a client request—yes, because it happened. While it’s unfortunate, proactive measures like this can help safeguard your operations. Here’s our suggestion:
Include this review process in your month‐end routine. Importantly, ensure that the individual reviewing these reports is not the same person writing the checks. A separate pair of eyes can provide the oversight needed to ensure accountability.
